Accounting Assistant

About This Position

Accounting Assistant will report to the Operations Director, assist Veracity Pros (outsourced accounting services provider) and administration staff with admin needs.

Accounts Payable:

  • Accurately process, review, and pay vendor invoices and ensure proper coding for expenses.
  • Reconcile employee credit card activity.
  • Coordinate with internal departments to obtain necessary approvals.
  • Maintain vendor records, including obtaining W-9s as part of vendor set-up and maintenance.

Payroll:

  • Administer the organization’s semi-monthly payroll processes, including accurate calculation of wages, taxes, and deductions.
  • Maintain employee payroll records, including timesheets, benefits, and leave balances.
  • Address payroll-related inquiries and provide timely support to employees regarding compensation matters.

Accounting:

  • Prepare journal entries.
  • Prepare account reconciliations.
  • Record donor contributions
  • Assist with other monthly reporting tasks.
  • Provide back up support to the front desk as needed.
  • Other duties as assigned.

Additional Information

  • Fully vaccinated and bivalent boosted for COVID-19
  • Associate or Bachelor’s degree in accounting
  • 1-3 years of accounts payable and payroll experience
  • Proficient in Microsoft Outlook, Word, and Excel (ability to create/analyze tables and perform VLOOKUP’s is a plus)
  • Experience with Sage 50, ADP payroll, and bill.com (or similar applications)
  • Ability to problem-solve and offer process improvement recommendations.
  • Self-motivated, adaptable, and able to quickly pick up on new tasks.
  • Strong communications, organization, and time management skills
  • Impeccable record of integrity and the highest ethical standards
  • Commitment to confidentiality
  • Ability to be flexible and supportive of all the IIM staff.
  • Must pass a background and credit check.

  • Use of manual dexterity, tactile, visual, and audio acuity
  • Use of repetitive motion, prolonged periods of standing, and sustained visual and mental applications
    and demands
  • Occasional lifting (up to 25-40 pounds), bending, pulling, and carrying
